The Federal, state and local governments have a wide range of financing programs to help small businesses start and grow their operations. The programs include low-interest loans, venture capital, and scientific and economic development grants. The Federal Government offer grants to programs that fall under the following categories: Agriculture, Arts, Business and Commerce, Community Development, Food and N utrition, Health, Housing, Humanities, Information and Statistics, Law, Justice and Legal Services, Natural Resources, Regional Development, Science and Technology and Social Services.

The Small Business Development Center (SBDC) works with existing and startup small companies to help in every phase of the business cycle, including financing.City of Austin Small Business Development Program offers training and technical assistance to anyone starting, expanding, or managing a small business. They can be reached at OneTexasCenter,1stFloor,505, Barton Springs Rd., Austin, Texas .

Government grants are designed to assist businesses, but usually it goes to agencies and nonprofit organizations which perform some service for business or benefit business in some way, such as community development in rural area. Online catalog from the U.S. Government contains a listing of all available government grants. You can also find this in printed form in Catalog of Federal Domestic Assistance, Faulk Central Library, Grants Center, 2nd floor .

Different types of business grants are available at banks to small business owners. The major items that most lenders need when you apply for a loan are: legal papers to establish ownership of the business; description and history of the business; resumes of owners and managers of the business; current personal financial statements of owner, partners, officers of the business; business plan; tax returns for the previous three years; current financial statement of the business; list of proposed uses of the loan; list of assets and debts of the company and list of collateral of the company. Qualifying for such loans at a bank may be difficult. The other lending organizations that offer loans to businesses that are not eligible for conventional bank loans are nonprofit organizations.

Nonprofit organization provides credit to small businesses that do not have any current bankruptcies, have either an established (1 year old) business or an alternate source of income, and do not have access to loans from commercial sources. They lend $500-$25,000 to existing businesses or start-ups.BiGAUSTIN is a nonprofit Community Development Financial Institution (CDFI) that provides training and loans to small businesses, especially minority- and women-owned businesses, in Central Texas. It provides loans up to $15,000 to start-ups and up to $50,000 for established businesses.

Small business grants are not just given away by government agencies or private institutions for helping you start your business. There needs to be a particular interest in your project in order for them to provide the funding that you need. And it’s not enough to have a good idea in order to obtain finance for it; you need to have a well made business project to convince them of your eligibility.

No Credit Or Income Requirements?

Though there is no need to reimburse the money on government grants, claims that state that there is no credit or income requirement in order to get approved for a government grant are far from being truth. Truth is that the requirements for approval are not present in the same sense as on private or federal loans but there is still a qualification process.

You may wonder then, what is needed in order to qualify for a government grant. The idea is that you’ll need to show that your business project is viable, and thus, you’ll need to show that you can be trusted which implies having a fair credit score and the ability to generate a proper income to show proof of the business viability.

Presenting a Viable Business Project

What you need to understand is that prior to requesting a government grant, you’ll need to prepare a presentation of your business project. This obviously implies having a project and not just a mere idea. Small business administration grants are provided for small businesses that are already in operation. Small businesses always play a significant role in the economic growth of a country and that is the reason governments are always ready to offer financial resources to facilitate small business. This type of service offered by the government is only obtainable to businesses that barely needs a financial support but can not apply for a loan because of inadequate security.

Fortune 500 companies have been off shoring the financial and accounting business processes (BPO) to countries like India, Philippians, China, etc. These companies have big budgets and a big team of consultants who analyzes the total cost and ROI of sending their financial and accounting work to the service providers in offshore locations. Though smaller companies have started off shoring their financial and accounting work to offshore locations but like big corporations small businesses do not have huge budget to hire consultants to identify the total cost of off shoring their financial and accounting work to offshore locations. But small businesses can still perform their due diligence in calculating total cost of their offshore engagement and gain critical knowledge in finding ROI of sending their financial and accounting work to offshore locations. In this report we will go through all of the hidden costs of offshoring financial and accounting business processes.

1. Different Costs of Offshoring Financial & Accounting Work

Small businesses mainly consider offshoring their work, they will consider only the hourly rate they need to pay to the offshore vendor for various accounting works like bookkeeping, accounts payable, accounts receivable, etc. There are several other additional hidden costs small business have to face in their offshore outsourcing engagement. Typically a small business goes through following offshore accounting work cycle in their offshore engagement:

• Selecting an offshore accounting vendor

• Sending the work to the offshore vendor

• Answering questions for the offshore vendor

• Receiving the finished work from the offshore vendor

• Verifying the finished work from the offshore vendor

• Monitoring the quality of the finished work from the offshore vendor

2. Cost of Selecting offshore accounting vendor

The cost associated with selecting an offshore accounting vendor will be small compared to other costs. Most of the time small businesses can find a qualified offshore accounting vendor simply by searching in Google or by contacting other small businesses those who are already using an offshore vendor, for detailed discussion on this topic read Offshore Accounting Success. This cost is the one time cost and it will be similar to selecting an onshore vendor.

3. Cost of sending the work to an offshore vendor

Small businesses must consider various types of cost like Scanner, High speed Internet, Backup Server, etc, to send their financial and account documents to an offshore vendor, but the good news is that it will be a one time investment and most of the small businesses will have these in place already. There are three different offshore accounting models you can use to send your accounting and financial work to the offshore vendors and for these you will incur following one time cost.

3.1. Scanner & Scanning software

Most of the accounting and financial data will be in your accounting software like QuickBooks, Peachtree etc, but there will be other documents like Bills, Checks, Invoices, Goods received notes, etc will be on paper and these should be digitized using a scanner and a scanning software to convert it into PDF documents which will be stored in your computer. Once the documents are in your computer then you can give access to the offshore vendor to view the PDF documents or they can retrieve it from your computer to perform their work in the offshore location.

Most of small businesses already have a scanner, if not a scanner (scanning software comes with the scanner) can be purchased for less than $1000.00. The cost of the scanner will go up based on the volume of accounting and financial documents to be scanned in a given day. It will be a one time cost for the small business and also by scanning all their paper based accounting documents; you can improve the efficiency of overall accounting process.

3.2. High speed Internet Connection Cost

You need to have high-speed Internet connection to send and receive the work to and from offshore location. Again all most all small businesses already have DSL/T1 Internet connection if not they can get a DSL Internet connection for $60-100/month.

3.3. Secure FTP software

If small businesses are using Application Service Provider (ASP) like Quickbooks online, cpaasp.com, etc, then it is possible for offshore vendors to directly access your accounting data directly from the ASP vendor. In this case there is no need to use secure FTP software.

3.4. Backup Server

Once small businesses start digitizing their accounting documents for their offshore vendors, they need to start planning for the backup server to backup all their accounting documents. Most of the small businesses will have this feature already, if not it is a good investment to have a backup server to backup all their accounting and financial data from their main computer to the backup server. For any business “Business continuity” is a vital task and the backup server will help the small businesses to recover all the accounting data in case of main computer failure.

3.5. Additional Accounting software License cost

Small businesses use various accounting software packages like QuickBooks, MYOB, Microsoft Office Accounting etc, for doing all their accounting and financial work. When they offshore the work the offshore vendor will use the same accounting software to do the work. It is very difficult for the small businesses to find an offshore vendor who already owns the licenses for all the accounting software. As described in the offshore accounting models if small businesses decides to use Remote Server or ASP then there is no additional cost for small businesses. On the other hand if the small businesses decided to use Secure File Transfer then small businesses needs to buy additional accounting software license for the offshore vendor to use. Small businesses will incur this cost even if they outsource the work to onshore vendors. This cost is truly soley based on the accounting software package used by the small businesses. Accounting software packages comes with various flavors types of software licenses like concurrent users, fixed number of users, CPU based, Network based etc., Some times small businesses can completely avoid this cost altogether.

4. Managing Financial & Accounting offshore vendor

Once you send your accounting and financial work to the offshore vendor, you need to constantly mange and monitor the quality of finished work that comes back from the vendor. Initially you may need a full-time person educating the offshore accountants and bookkeepers about your accounting process and preparing proper instructions for them to follow in their work. Once you and the offshore team are comfortable in the working relationship then all you need is to verify the work periodically. Basically you need to consider the offshore team as your virtual team and educate them in your accounting processes and procedures, once you are comfortable with their work your own employee(s) will spend less time with the offshore vendors.

5. Offshore vendor wage

For the accounting and financial work performed by the offshore vendor, small businesses will pay either an hourly rate or a monthly rate to the offshore vendor. This will be the actual direct cost small businesses will pay to the offshore vendor and all other costs are indirect cost of sending the work to offshore vendor. Typically the wage cost will be 50-70% less than the cost paid to the onshore accounting and financial vendor. For small businesses this cost savings is one of the major reasons to use the offshore vendor for their financial and accounting work.

Small businesses need to consider several costs in their financial and accounting offshore engagement. As shown in the table Small business F&A offshore outsourcing – Fixed Cost Vs Monthly Cost some of the costs are fixed and some of them are monthly expanses incurred by the small businesses. Among the monthly cost only the offshore vendor wage is the direct cost paid to the offshore vendor. While performing ROI analysis small businesses must consider all these costs to find the Total Cost of doing business with offshore vendors. As shown in the table, for certain items finding out the exact cost may not be possible and it is highly based on the individual small businesses and the type of accounting and financial work that has been sent to offshore locations. The total cost may not be a fixed amount and it can change from month to month. For example in some months there will be more questions from the offshore vendor in clarifications and in other months there will be less questions, this cost will vary from month to month.

If yours is like most small businesses, you can’t afford the luxury of a PR department, much less a dedicated PR agency or even one employee responsible for external communications and PR. However, this business function is critical as the world of communications continues to expand with new applications, demands and opportunities like social media networks. The thought of a concerted PR strategy and execution can be overwhelming for a small business owner, but it doesn’t have to be. There are two primary elements of PR for a small business to engage upon – leveraging online and local offline outlets. The old world of face-to-face will continue to be critical in building your PR strategy and overall business, but let’s face it – the environment has changed, and you simply can’t ignore the power of the Web, particularly social networks. Proactively getting your business out in the community while leveraging the Web will ensure the success of your PR strategy. And, these tactics are not expensive; in fact, many present opportunities for free PR for your small business.

These PR strategy tips are designed for those small businesses that simply don’t have budget allocated toward hiring and retaining a communications expert. If you are a smaller company, hopefully you can take a few tips below to integrate PR into your small business to help build a brand and generate leads. Utilizing informative, valuable PR about your small business gives you the opportunity to influence people and lead them to your destination – your website, your store, your offering. Take advantage of what’s out there! Get online and get local – it’s that simple.

Growing Your PR Strategy

Grow Online

If you don’t have a website, you need to get one immediately. Today, you can get a starter site for free or within your communications packages from your voice and data provider. If it’s in the package, then it’s a no-brainer. If you have a website, then make sure it’s dynamic (video, blogs, and communities) to ensure your target audience comes back and builds a relationship with you and your brand. It’s a requirement in today’s online world; the days of stagnant sites are over. Then, once you have your interactive site, make sure you optimize your website and everything you say about your business online to ensure your potential customers are finding you online when they search. This is a key part of your online PR strategy. Don’t you search Google or Bing to find what you need a pinch? It’s called Search Engine Optimization (SEO) and it can be an affordable way to create additional PR for your small business — and it’s often found in your communications and IT packages. At the very least, getting a URL allows you to be FOUND online and that’s key. Google now provides maps when visitors are looking for a specific service in a specific area. By simply having an Internet address – you can be found online looking professional with a map to your location and link to your business, which is pretty cool.

The Wild World of Social Media

You have probably heard about “social media” and you may already be taking part. For many, however, the world of Twitter, Facebook, Linked In, blogs, vlogs and status updates may be a bit unsettling. Suffice it to say – these are powerful tools to help you carry out your PR strategy, especially when used properly to connect, communicate and yes, to sell.

As a small business, you can’t afford NOT to take part. It’s easy and affordable, so don’t waste anymore time. Of course, you do need to understand how best to engage before you jump in. Here are a few quick ways to start creating more PR for your small business:

1 – Create a Twitter profile and gain followers by “Tweeting” about your business, surrounding businesses and community topics that map back to your business. Build buzz about what you provide – can you Tweet special coupons? Can you give advice? Can you share relevant information to your community? Do you have an event you want to invite local prospects to? Twitter, an emerging PR strategy with an increasing audience, is a great way to quickly (140 characters or less) get a message out and position yourself as a leader. Remember, it’s not all about you; you must talk about the world around you to make an impact. Start off Tweeting about your business, but quickly begin integrating Tweets about your customers, your community, and your industry – and the most important part is to provide some kind of value or benefit in your tweets. Be respectable as well. And if you see someone comment about your business online (good or bad) – respond online for all to see. It’s a great way to show you are committed to your customers. The cost to you? It’s essentially free PR for your small business.

2 – Create free profiles on Linked In and Facebook. All you need for Linked In is a profile of you, and from there, you can create a group where you can share stories, news, and other PR about your small business. People can ping you for questions which positions you as an expert and, you can join interest groups that will help you track what other potential buyers in your community do, say and think. For Facebook, simply select “business” on the homepage to create a business “fan” page. Local residents, family and friends can then become “fans” of your company, which is an easy way to highlight the most recent PR about your small business. All you have to do is commit to posting news, updates, coupons, photos and other interactive content to get people engaged. Remember – provide a benefit – a reason for your “fans” to come back for more.

In addition to these PR strategy tips, there are local meet-up groups in every community that often originate from the Web, and then meet offline to have a real interactive discussion. Check out Meetup.com in your area to find one.

Much like how consumers like to buy from locally grown farms, small businesses tend to buy from their peers – other small businesses. An effective PR strategy is all about supporting your local communities, and these days, that’s more important than ever. Keeping this in mind, focus on your community by generating PR for your small business at local events. Depending on your business, there are often specialty groups for different types of businesses such as professional service specialty groups. Often these groups gather monthly or quarterly to share best practices and to network. There are certainly general small business groups in your community such as your local Chamber that meet regularly as well. Beyond networking events, you can get ink for your business. Most Chambers have monthly newsletters or emails. Do you have something to say? Could you contribute twice a year with a special promotion to drive people to your business? Take advantage of these opportunities to fuel word-of-mouth marketing through PR for your small business. Hand out business cards, build relationships and follow-up. These opportunities are right outside your door.

Think grassroots.

Shake hands with other small businesses owners, refer each other and grow your business. To improve PR for your small business, think about what events are taking place this weekend where you could set up space, hand out collateral, serve up some hotdogs, and generate solid leads. Is there an art show or “Taste Of” type of event? Don’t take it all on yourself; partner with other local businesses right in your area to split costs and cross-sell to each other’s customers. A hand-shake goes a long way towards an effective PR strategy. Add a coupon and see the results. Most communities have annual events that bring hundreds/thousands of people – target those. In terms of PR for a small business, the best thing you can do is to connect directly to your audience by showing your personality and your value – get out there!

Leverage Local Media.

Another important element of your PR strategy involves local brand development, which means building relationships with local media. Yes, there is still benefit in reaching out to traditional media when it comes to PR for your small business. Take a moment to find out who your local reporters are and introduce yourself. Share with your new media contacts areas of expertise that you would be able to discuss if requested. If you create a relationship with your local media and have something compelling or contrarian to say, chances are they will call you when they need your input. Consider a quick email to your local reporters with an introduction, a quick reference of your expertise and what you could comment on. Being timely and relevant is critical to your PR strategy. Offer a cup of coffee. Those relationships can go a long way when you really want to make noise in the community. It’s important to know that if you want coverage and/or additional PR for your small business – you won’t get it with a cold pitch. You must: 1) – establish a relationship; 2) – have news to share that’s relevant, unique or at least different; and 3) – have a product/or service that is remarkable. These rules ring true for influential bloggers as well. However, what remains important today as it did 100 years ago is the face-to-face interaction. Nothing will replace it, so make sure you show your face and personality in the community. Coupling the old with the new will ensure a successful PR strategy for your small business.

More people dream about starting a small business than they do about going to college or seeking promotion. However, owning a small business is more than just a full time job, it can become your lifestyle.

The lifestyle you create depends on the small business that you create. It is important to find the best small business to start.

There are two types of small businesses namely the one where you have to work incredibly hard or the other where you work smart and not hard.

Owing a small business can become your life if you are not careful and disciplined. For example a typical store owner can be in demand twenty four hours a day. His or her day doesn’t end when they go home or when the store closes. Even if they are fortunate enough to be able to afford sufficient staff and are able to successfully delegate, it can be difficult to find staff that you can trust. There are times when it can seem that everyone needs their attention – the staff, the customers, the reps, the family and even the mobile phone. Often small business owners are seen to the outside world as being wealthy, prosperous and extremely lucky. Little do they know the hard work and effort required to succeed in a small business. There can be many sleepless nights and worry over how to pay the bills, wages and to buy new stock not to mention the responsibility for the health and safety of staff to comply with the Employment Law. There are also the issues of ensuring equal opportunities and of paying the business taxes and insurances on time on top of bank loans for the business. No wonder many small business owners have health problems due to the pressures that they face.

There is however another type of small business that is less costly to set up and less stressful to run namely a home based small business. The main advantage of this type of business is that it is open to ordinary people as most small businesses can be run from any small room in a house like a study, bedroom or even a garage without incurring huge costs that other businesses and franchises incur. There are no costs for staffing, travelling or rent for the business premises. The turnover, profits and return on your investment can be as big or small as you choose. There are no limits to what you can achieve with this type of small business.

Many choose to start a small business as it offers independence. Many small business owners left their jobs to become their own boss as they wanted to make their own decisions, take their own risks but more importantly to reap their own rewards from their effort.

There are many home based business opportunities and it is important to carry out research to establish the best small business to start. There are many internet home based opportunities now available, many of which offer the opportunity to make sales from home. There are unlimited trading possibilities with these types of small businesses due to the global market available. The overheads for these types of businesses are low as there is often only the need to own a computer and a phone. You can also work flexible hours based around your own needs because an internet business does not close down. It is open for business twenty four hours a day. You can even be earning money as you sleep!

This type of small business is often an easy business to start. It can be the best home based business to start as often one to one coaching is offered to help you start a business from home.

This type of business is a successful alternative to a “bricks and mortar business”. It can provide the opportunity to earn more money, work less hours and help provide more time to spend with friends and family. However as with any other small business your business success will be determined by the time and commitment you put into your business but with the right mindset and motivation it is possible to achieve great rewards both financially and on a personal level.
